Insurance and pre-authorisation paperwork

Fewer claims bounced for a missing field. Forms come pre-filled, gaps get chased, and a person checks everything before it's sent.

How it runs

What we build, step by step.

This is the usual shape. Yours gets built around how your team actually does the job.

  1. 01

A scoped list of what the form needs

We agree with you which fields the system may read for each insurer form, such as patient details, policy number and treatment codes. This is the one build that touches treatment information, so it's scoped and signed off on its own.

  2. 02

    Forms pre-filled for review

The form is filled from those fields and saved for a person to check. Anything missing is highlighted, never guessed.

  3. 03

Missing details chased from the patient

If the policy number, member ID or a signature is missing, the patient gets a short message asking for just that.

  4. 04

    Insurer replies tracked

Replies to your claims inbox are matched to the right patient and the tracker is updated: approved, more information needed, or declined.

  5. 05

A weekly list of what's stuck

Claims and pre-authorisations waiting longer than a set number of days, so someone can ring the insurer.

Shown with software we see a lot. If your team uses something else, we build it into that instead.

Built for your business

Same job, different business. We build yours.

Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.

  • Your steps

Built around the order your team already works in, odd exceptions included.

  • Your software

Runs inside the tools you already pay for, set up the way you use them.

  • Your rules

Your wording, your limits, your sign-offs. Nothing generic goes out in your name.

You sign off

Your team keeps the final say.

A person checks and submits every form. Treatment codes and clinical justification are confirmed by the clinician, never written by the system.

What it's worth

What those hours add up to.

3 hours a week, over 46 working weeks, is 138 hours a year. At $50 an hour, that’s

$6,900

back in the business, every year.

Typical, not promised.

Before and after

The job, before and after.

How it runs today

A receptionist or practice manager retypes patient and treatment details into insurer forms, chases the patient for a policy number, then checks a shared inbox for the reply. Claims stall because one field was missing.

What we build

  • A scoped list of what the form needs
  • Forms pre-filled for review
  • Missing details chased from the patient
  • Insurer replies tracked
  • A weekly list of what's stuck

A month in

Forms go out complete the first time, so fewer bounce back, and your practice manager can see every open pre-authorisation on one page.

Why this one is scoped separately

Recalls, rebooking and enquiries only need appointment and contact details. Insurance paperwork is different, because the form asks what treatment is planned.

So we treat it as its own piece of work. You decide which fields the system can see, the data agreement names them, and the clinician still confirms anything clinical on the form.

FAQ

Does it submit insurance claims to insurers directly?

No. The system prepares pre-authorisation and claim forms and tracks the replies, but your team submits them through whatever portal or route the insurer uses.

Does it work for vets and pet insurance too?

Yes. For a vet practice the pattern is the same: pre-fill the pet insurance claim form, chase the owner for anything missing, and track the insurer's reply.
