Client document collection
Submissions go to insurers complete, and nobody on your team writes a reminder email.

How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
A checklist per submission
Built from the line of business: liability needs wages by trade, a motor fleet needs a driver list and vehicle schedule, property needs a schedule of values. The client only sees what applies to them.
- 02
Requests and reminders from your address
A clear first request, a nudge after four days, a firmer note after eight. Each one lists only what's still outstanding.
- 03
Signatures collected online
Proposal forms and anything else that needs a signature go out for e-signature and come back filed.
- 04
Incoming files checked and saved
Attachments are matched to the checklist and saved to the client folder. Wage figures for the wrong year, or a driver list with no licence numbers, get flagged instead of ticked off.
- 05
A daily list for the account handler
Which submissions are complete, which are late, and which clients replied with a question.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
An account handler reviews anything flagged as incomplete and deals with any client reply that's a question rather than a document.
What it's worth
What those hours add up to.
4.5 hours a week, over 46 working weeks, is 207 hours a year. At $50 an hour, that’s
$10,350
back in the business, every year.
Typical, not promised.
Before and after
The job, before and after.
How it runs today
An account handler emails the client a list, waits, checks the inbox, and emails again. Documents arrive in pieces, some are last year's, and the signed proposal form turns up the day before the submission is due.

A month in
Submissions go out complete and on time. About 4.5 hours a week of reminder emails disappears, and the signed form stops turning up the day before it's due.
FAQ
Can it request claims histories from previous insurers too?
Yes. Claims history requests go to each previous insurer's service address, get chased on the same schedule as client documents, and are filed when they arrive.
What if the client sends everything in one messy email?
Each attachment in the email is matched to the submission checklist on its own. Anything that can't be placed is flagged for a person to look at.
