Quarterly clean-up and year-end prep
Year-end becomes a quick check, and your accountant's bill comes down. A clean-up pass every quarter, and contractor records kept as you go.

How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
A clean-up pass every quarter
Uncoded lines, missing receipts, likely duplicates, and categories that swung sharply against the same quarter last year are listed with suggested fixes.
- 02
A contractor record kept as you pay
Every payment to a subcontractor or freelancer is logged against their name, address and tax details.
- 03
Missing tax details requested early
Anyone you've paid without their tax details on file (an ABN, a UTR or a W-9, whatever applies) is asked the first time you pay them, not at year-end.
- 04
A readiness check before year-end
Contractors you'll need to report who are still missing details are listed, with the requests already drafted.
- 05
Year-end files sent to your accountant
The cleaned-up reports and the contractor list go to your accountant as soon as the year closes.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
Nothing in the books changes without approval, and your accountant files the returns. We only find the gaps and collect the paperwork.
What it's worth
What those hours add up to.
10 hrs at year-end
Typical, not promised.
Before and after
The job, before and after.
How it runs today
Twelve months of loose ends get tidied in one go when the accountant asks for the year-end. Subcontractor details and tax numbers get hunted down at the last minute, and some of the people you paid have changed numbers or stopped answering.

A month in
Around 10 hours saved at year-end. Each quarter's clean-up is a quarter of the size, your accountant gets tidy records on time, and their bill is smaller because they spend less time fixing things.
Tag the one-offs in advance
A quarter with a new van in it will look odd next to one without. Telling us about big one-off purchases or refunds as they happen means the clean-up flags real problems, not things you already know about.
FAQ
Which contractor reports does year-end prep cover?
Whatever your accountant files. In Australia that's often the taxable payments annual report for building and trade businesses, in the UK it might be CIS paperwork, and in the US it's 1099s. We set the contractor tracking up to match.
Will my accountant be happy with quarterly clean-ups?
Most are. Clean books and a complete contractor list are exactly what accountants usually spend year-end chasing.
