Inbox triage and draft replies
The inbox under control by 9am. Mail is sorted as it arrives, replies are drafted, and nothing gets left hanging.

How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
Each email sorted as it arrives
Tagged as a new job request, customer question, supplier invoice, complaint or noise, using rules you agree during the build.
- 02
Routed to the right person
Invoices go to whoever pays them, job requests to whoever books them, and complaints straight to a manager.
- 03
Replies drafted from your records
Routine questions (opening hours, job status, where's my invoice) get a reply drafted from your job system and past emails, left in drafts for a person to send.
- 04
A list of conversations left hanging
Every morning, the threads where a customer or supplier is waiting on you and nobody has replied, across the inbox and the business WhatsApp.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
Drafts wait for a person to send them. Complaints, anything about money and anything it isn't sure how to sort go straight to a person.
What it's worth
What those hours add up to.
6 hours a week, over 46 working weeks, is 276 hours a year. At $50 an hour, that’s
$13,800
back in the business, every year.
Typical, not promised.
Before and after
The job, before and after.
How it runs today
The office opens the inbox and works down it. Urgent emails sit under newsletters, supplier invoices get mixed in with customer questions, and an email that needed a reply on Monday gets found on Friday.

A month in
Six hours a week off the inbox. Customers get answers the same day, and nobody finds a week-old email they should have answered.
Two kinds of waiting
Most inbox problems are about what came in and never got answered. A smaller but costlier set is what you sent and never heard back on, like a quote or a question to a supplier. The morning list covers both, so the office sees who's waiting on them and who they're waiting on.
FAQ
What if inbox triage sorts an email into the wrong pile?
The email sits in front of the wrong person for a few minutes until they move it. Nothing is sent or deleted because of a sorting mistake, and the rules get adjusted when it happens.
Can inbox triage handle more than one inbox?
Yes. Most offices connect the main shared inbox first, then add the owner's or accounts inbox once the first is working well.
