Purchase order creation and approval
Know what you've committed before the bills land. A request by text or email becomes a proper order, approved by the right person, and nobody retypes it.

How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
Requests captured from anywhere
A text from site, an email or a short form: what's needed, for which job, by when.
- 02
A purchase order drafted
With the supplier, items, agreed prices, delivery address and job number filled in from your records.
- 03
Checked against your limits
Who can approve what amount, whether it fits the job budget, and whether a cheaper agreed price exists for the same item.
- 04
Sent for one-tap approval
The approver gets a short summary and approves or rejects from their phone.
- 05
Sent to the supplier and recorded
The approved order goes to the supplier from your address and is recorded in your accounts so the invoice can be matched later.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
A person approves every order, within the limits you set, before it reaches a supplier. Over-limit orders go to the owner.
What it's worth
What those hours add up to.
3 hours a week, over 46 working weeks, is 138 hours a year. At $50 an hour, that’s
$6,900
back in the business, every year.
Typical, not promised.
Before and after
The job, before and after.
How it runs today
Orders get placed by text, by phone and from whichever email is closest. Often there's no written order at all, so there's nothing to check the invoice against, and nobody knows what's been committed until the bills arrive.

A month in
Every order is written down, approved and tied to a job, so the bills hold no surprises and every invoice has something to be checked against.
FAQ
Our crews won't fill in forms. Can they still raise orders?
Yes, without filling in a form. A text like 'need 20 lengths of 22mm copper at the Oak St job by Thursday' is enough, and the purchase order is drafted from that.
Do we need Precoro for purchase orders?
No. Purchase orders can live in QuickBooks, Xero or a simple register. We only suggest a purchasing tool like Precoro if your volume justifies one.
