Progress claims and pay apps

Never wait an extra month to get paid. Each month's claim is built from your contract breakdown, variations and photos, and ready before the cutoff.

How it runs

What we build, step by step.

This is the usual shape. Yours gets built around how your team actually does the job.

  1. 01

    Claim dates on the calendar

Each contract's claim cutoff is tracked, and the PM gets a reminder a week ahead.

  2. 02

    Progress gathered

Daily reports and site photos for the period are pulled together for each line of the contract breakdown.

  3. 03

    Claim drafted

Per cent complete suggested for each line from the site record, signed variations added, retention worked out.

  4. 04

    Sent for signature

Once the PM approves the numbers, the claim goes out for signature with the backup attached.

  5. 05

    Invoice raised

The approved claim becomes an invoice in your accounts, ready to chase.

Shown with software we see a lot. If your team uses something else, we build it into that instead.

Built for your business

Same job, different business. We build yours.

Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.

  • Your steps

Built around the order your team already works in, odd exceptions included.

  • Your software

Runs inside the tools you already pay for, set up the way you use them.

  • Your rules

Your wording, your limits, your sign-offs. Nothing generic goes out in your name.

You sign off

Your team keeps the final say.

The project manager sets every per cent complete and approves the claim. It suggests. It never submits on its own.

What it's worth

What those hours add up to.

3 hours a week, over 46 working weeks, is 138 hours a year. At $50 an hour, that’s

$6,900

back in the business, every year.

Typical, not promised.

Before and after

The job, before and after.

How it runs today

At the end of the month, a project manager works out per cent complete from memory and a walk around, digs out signed variations, attaches photos, and builds the claim in a spreadsheet. If it misses the cutoff, you wait another month to be paid.

A month in

Every claim goes in before the cutoff, every month, with the backup the client's reviewer needs to approve it first time.

FAQ

Does it work with our contract's progress claim format?

Yes. We build progress claims from the forms your contracts need, whether that's an AS 4000 claim, an AIA G702/G703 or your client's own format.

Can it chase payment after a progress claim goes in?

Yes. An unpaid progress claim can get the same reminder schedule as any overdue invoice, once it's raised in your accounts.
