Supplier delivery and invoice checks
Fewer days lost to missing materials. Delivery dates are confirmed before they leave a gap on site, and invoices are checked against what was ordered and delivered.

How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
Order dates tracked
Each purchase order and its promised delivery date, linked to the work it's needed for.
- 02
Dates confirmed ahead
Suppliers are asked to confirm a few days before delivery. A changed date goes straight to the site manager.
- 03
Invoices matched
Each supplier invoice is compared with the order and the signed delivery docket. Price and quantity differences are flagged.
- 04
Exceptions list for the office
Mismatched invoices and late deliveries in one short list, each linked to its documents.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
Nothing is approved for payment automatically. The office reviews the exceptions and approves every bill.
What it's worth
What those hours add up to.
3 hours a week, over 46 working weeks, is 138 hours a year. At $50 an hour, that’s
$6,900
back in the business, every year.
Typical, not promised.
Before and after
The job, before and after.
How it runs today
A delivery date slips in a supplier email and nobody tells the site manager until the crew is standing around. Invoices get paid without anyone matching them to the order or the delivery docket.

A month in
Your site manager hears about a slipped delivery days ahead instead of on the morning, and no invoice gets paid until it matches what turned up.
FAQ
Does it pay suppliers automatically?
No. Supplier invoices are checked against the order and delivery docket, and any mismatch is flagged. Payment approval stays with you.
What if we don't raise formal purchase orders?
Invoice checks still work without formal purchase orders. We can match against the quote or order email instead. Part of the build is getting each order written down somewhere it can be checked.
