Proposals from past work
Proposals out within a day or two of the call, not a week. The first draft starts from the proposal you won last time.

How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
Your past proposals organised
Won and lost proposals are collected and labelled by service, sector, size and outcome.
- 02
Call notes in, closest matches out
From the discovery call notes or the deal record, the most similar past proposals are found and shown side by side.
- 03
A first draft in your template
Scope, approach, timeline and team are drafted from those matches and the prospect's own words. Fees come from your rate card.
- 04
Gaps marked for the partner
Anything the call didn't cover, and any claim the past work doesn't back up, is flagged instead of guessed.
- 05
Sent and tracked once approved
The partner edits and sends. Views and signatures are tracked, and a follow-up is drafted if it goes quiet.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
A partner reviews scope, fees and every commitment before anything is sent. The draft never goes out on its own.
What it's worth
What those hours add up to.
5 hours a week, over 46 working weeks, is 230 hours a year. At $50 an hour, that’s
$11,500
back in the business, every year.
Typical, not promised.
Before and after
The job, before and after.
How it runs today
After a good discovery call, a partner opens a blank document or hunts through shared drives for something similar. They rebuild the scope, the method, the team bios and the fee table by hand. A proposal takes a day, and it often goes out a week after the call while the prospect cools off.

A month in
Proposals go out within a day or two of the call instead of a week, they reuse your firm's best thinking, and partners spend their time on the price and the pitch.
Why past work beats templates
A template gives you headings. Your past proposals give you the scope that held up, the team that delivered and the price the client accepted. Starting from the closest real example is faster, and usually better.
Lost proposals help too. A similar one that didn't win, next to one that did, gives the partner something to think about before they set the fee.
FAQ
Will it reuse one client's confidential details in another's proposal?
No. Past proposals are used for structure and approach only, client names and specifics are kept out of the new draft, and a partner reviews every proposal before it's sent.
We don't use PandaDoc. Does proposal drafting still work?
Yes. Proposal drafts can land in Word or Google Docs, in your firm's existing template.
