Post-visit follow-up
Customers get a written recap the same day, while they're still thinking about the job, and the CRM is updated at the same time.

Hours back

hours a week back, typically
How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
Notes captured from the visit or call
From a recorded video call, a phone call or a quick voice note the estimator leaves in the van, the system picks out what was discussed.
- 02
Matched to the right customer
The notes are tied to the customer's record by phone number or email. If there's no match, they're flagged instead of filed in the wrong place.
- 03
A short recap with one next step
Three lines on what you heard, what each side agreed to do, and a single next step: the quote by Thursday, or a time for a second visit.
- 04
The CRM updated
Next steps, promised dates and anything worth remembering are written to the customer's record.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
Every recap waits for the person who did the visit to read and approve it, so a misheard number or name is caught before it reaches the customer.
What it's worth
What those hours add up to.
3 hours a week, over 46 working weeks, is 138 hours a year. At $50 an hour, that’s
$6,900
back in the business, every year.
Typical, not promised.
Before and after
The job, before and after.
How it runs today
The recap gets written that evening, or the next day, or not at all. Notes from the visit stay in someone's head, and the CRM never hears about it.
What we build
- Notes captured from the visit or call
- Matched to the right customer
- A short recap with one next step
- The CRM updated
A month in
Every visit gets a recap within hours, not days, and promises made on site end up in the follow-up list rather than being forgotten.
Why the same day
A recap that arrives while the customer is still thinking about the job gets read and answered. The same email two days later competes with every other quote they've had since.
If the visit was a clear dead end, for either side, the system flags it rather than sending a cheerful recap on autopilot.
FAQ
Do we have to record calls?
No. A 30-second voice note after the visit is enough for the recap. If you already record video calls, those can be used too, with the customer told it's being recorded.
Is the full recording stored in the CRM?
No. Only a short note of next steps and commitments goes on the customer record. The recording stays where it already lives.
