Quotes drafted from site-visit notes

Quotes out the same day as the visit. The tech talks through the job in the driveway, and a draft is waiting in the office before they reach the next address.

How it runs

What we build, step by step.

This is the usual shape. Yours gets built around how your team actually does the job.

  1. 01

    Notes captured on site

The tech records a quick voice note or types a few lines, and takes photos the way they already do.

  2. 02

Line items matched to your price book

Labour, parts and materials come from your own price book and past quotes for similar work. Nothing is made up.

  3. 03

A draft quote in your job software

Written in plain language, with options where you normally give them, like repair or replace.

  4. 04

    Site photos attached

The two or three clearest photos go on the quote so the customer sees what your tech saw.

  5. 05

    A text to the estimator

Whoever owns the quote gets a message to check it, tweak it and send it.

Shown with software we see a lot. If your team uses something else, we build it into that instead.

Built for your business

Same job, different business. We build yours.

Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.

  • Your steps

Built around the order your team already works in, odd exceptions included.

  • Your software

Runs inside the tools you already pay for, set up the way you use them.

  • Your rules

Your wording, your limits, your sign-offs. Nothing generic goes out in your name.

You sign off

Your team keeps the final say.

A person checks and sends every quote. The system drafts. It never sends a price on its own.

What it's worth

What those hours add up to.

5 hours a week, over 46 working weeks, is 230 hours a year. At $50 an hour, that’s

$11,500

back in the business, every year.

Typical, not promised.

Before and after

The job, before and after.

How it runs today

The tech does the site visit, scribbles notes and takes photos. The quote gets written that evening or at the weekend, and some go out three or four days later, by which time the customer already has two other prices.

What we build

  • Notes captured on site
  • Line items matched to your price book
  • A draft quote in your job software
  • Site photos attached
  • A text to the estimator

A month in

Most quotes go out the same day as the visit instead of three or four days later, and nobody gives up their evenings to write them.

Where the prices come from

The draft uses your price book and quotes you've already sent for similar jobs. If a part or task isn't in either, that line is left blank and flagged, so a guess never reaches the customer.

FAQ

What if the tech's site-visit notes are rough?

Rough notes are fine, and most are. Anything the draft quote couldn't work out, like a missing measurement or an unclear model number, is listed at the top so the estimator knows what to check before it goes.

Do my techs need to learn a new app?

No. Techs keep taking photos and notes in the app they already use. The only change is talking through the job for a minute before they leave the site.
