Warranty and callback tracking
Claim back the manufacturer credits you've been leaving on the table. Every callback is tied to the job it came from, with the claim ready to send.

How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
Callbacks spotted
Any new enquiry at an address you've worked at recently is checked against the earlier job.
- 02
Linked to the original job
The tech, the parts used, the photos and the date, so whoever goes back knows exactly what was done.
- 03
Manufacturer claims prepared
Model, serial number, install date, fault and photos put together in the form the manufacturer asks for, ready for the office to submit.
- 04
Claims followed up
Unpaid claims get chased until the credit arrives.
- 05
A monthly callback report
Callbacks by tech, job type and part, so a training gap or a bad batch of parts shows up early.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
Whether a return visit is free under your workmanship warranty is the owner's or service manager's call. A person submits every claim.
What it's worth
What those hours add up to.
3 hours a week, over 46 working weeks, is 138 hours a year. At $50 an hour, that’s
$6,900
back in the business, every year.
Typical, not promised.
Before and after
The job, before and after.
How it runs today
A customer rings because the fix didn't hold. The office books a free return visit, nobody links it to the first job, and the manufacturer warranty on the part never gets claimed. You can't say which jobs or parts cause the most callbacks.

A month in
Manufacturer credits you used to miss get claimed and chased until they're paid. Within a few months you can see which jobs, parts or techs keep bringing you back.
FAQ
Will it tell the customer a callback visit is free?
No. Callback tracking flags the job as a likely callback so your team can decide. What your workmanship warranty covers is up to you.
What counts as a callback?
A callback is whatever rule you set, for example the same address within 30, 60 or 90 days, the same equipment, or the customer saying the problem came back. The rule is written into the handover pack.
