hours a week back, typically

How it runs

What we build, step by step.

This is the usual shape. Yours gets built around how your team actually does the job.

  1. 01

    Statements on a fixed date

Every trade account gets its statement on the same day each month, sent to the right accounts contact.

  2. 02

    Reminders that match the account

A friendly note at 7 days overdue and a firmer one at 21, with copies of the open invoices attached. Key accounts can be left out.

  3. 03

    Replies sorted

"Paid yesterday", "we never got that invoice" and "there's a dispute" each go to the right person, with the invoice attached.

  4. 04

    A weekly call list

Accounts that need a phone call, with balance, age and the last reply, for whoever runs collections.

Shown with software we see a lot. If your team uses something else, we build it into that instead.

Built for your business

Same job, different business. We build yours.

Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.

  • Your steps

Built around the order your team already works in, odd exceptions included.

  • Your software

Runs inside the tools you already pay for, set up the way you use them.

  • Your rules

Your wording, your limits, your sign-offs. Nothing generic goes out in your name.

You sign off

Your team keeps the final say.

Your collections person handles disputes and decides on credit holds. No account is put on hold automatically.

What it's worth

What those hours add up to.

2 hours a week, over 46 working weeks, is 92 hours a year. At $50 an hour, that’s

$4,600

back in the business, every year.

Typical, not promised.

Before and after

The job, before and after.

How it runs today

Statements go out when someone has time to run them. Overdue reminders depend on who remembers, and collections works from an aged debtors report that's already a week old.

What we build

  • Statements on a fixed date
  • Reminders that match the account
  • Replies sorted
  • A weekly call list

A month in

Statements go out on the same day every month, overdue balances get chased at 7 and 21 days without fail, and collections only makes the calls that need a person.

FAQ

Will automatic overdue reminders upset our biggest customers?

They don't have to. Key accounts can be left out of automatic overdue reminders entirely, or have each reminder go to their account manager for approval first.

Do overdue reminders put accounts on hold?

No. The build tells your collections person which trade accounts are past terms, but putting an account on hold is always a person's decision.
