How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
Price files picked up when they arrive
Spreadsheets and PDFs from suppliers are collected from the purchasing inbox.
- 02
Matched to your items
Supplier item codes are matched to yours, and new or discontinued items are listed separately.
- 03
A change report
Every cost that moved, by how much, and which of your sell prices now fall below your target margin.
- 04
Cost updates staged
Approved changes are prepared as an update to your system, with the effective date from the supplier's notice.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
A buyer approves cost changes, and the owner or sales manager decides whether sell prices move.
What it's worth
What those hours add up to.
4 hours a week, over 46 working weeks, is 184 hours a year. At $50 an hour, that’s
$9,200
back in the business, every year.
Typical, not promised.
Before and after
The job, before and after.
How it runs today
A supplier emails a new price file in their own format. Someone lines it up against your item list in a spreadsheet, works out what changed, and updates costs by hand. Big suppliers take days, and meanwhile you're selling on last month's costs.

A month in
Costs are current within a day of a supplier's notice instead of days later, and you see margin squeeze on specific lines before it shows up at month end.
FAQ
Do supplier price list updates change our selling prices?
No. The price list check shows which sell prices now fall below your target margin, but changing them is your call.
Our suppliers all use different formats. Is that a problem?
No. Each supplier's price file layout is set up once, and if a supplier changes their format the file is flagged instead of read wrong.
