Backorder notices
Fewer angry calls, because customers hear about a shortage the day it happens.

How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
Shortages spotted as they happen
Order lines that can't be filled are picked up from your system when they go on backorder.
- 02
Expected date from the inbound PO
The supplier's confirmed date on the matching purchase order is used as the expected date. No confirmed date means the notice says so.
- 03
A notice to the customer
A short email listing what's short, when it's expected, and any substitute item you stock, if you've marked one.
- 04
An update when it ships
When the stock lands and the line is dispatched, the customer gets the tracking link.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
Account managers see every notice for their key accounts first, and decide on substitutes or credits for part shipments.
What it's worth
What those hours add up to.
2 hours a week, over 46 working weeks, is 92 hours a year. At $50 an hour, that’s
$4,600
back in the business, every year.
Typical, not promised.
Before and after
The job, before and after.
How it runs today
A line comes up short at picking. The order goes out part-filled, the customer notices on delivery, and they ring to ask where the rest is. Someone then has to find the inbound PO and explain.
What we build
- Shortages spotted as they happen
- Expected date from the inbound PO
- A notice to the customer
- An update when it ships
A month in
Customers hear about a shortage the same day instead of on delivery, so they plan around it rather than finding out on site, and the angry calls drop off.
FAQ
Will a backorder notice offer a substitute we don't want to sell?
No. A backorder notice only mentions items you've marked as approved substitutes.
What if the supplier's delivery date slips?
The customer gets a short updated backorder notice with the new date as soon as the inbound date changes in your system.
