Client call follow-up
A same-day recap after every client call, and scope changes spotted before they turn into unbilled work.

Hours back
4
hours a week back, typically
How it runs
What we build, step by step.
This is the usual shape. Yours gets built around how your team actually does the job.
- 01
Calls transcribed
Client calls are recorded and transcribed, with the client's consent.
- 02
Decisions and actions pulled out
Each action gets an owner and a date where one was said, and anything without an owner is flagged.
- 03
Tasks added to the right project
Actions are matched to the existing project instead of starting a second list.
- 04
Client record updated
A short call note is saved against the client.
- 05
A follow-up email drafted
A recap of what was agreed and what happens next, waiting in the account lead's drafts.
Shown with software we see a lot. If your team uses something else, we build it into that instead.
Built for your business
Same job, different business. We build yours.
Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.
Your steps
Built around the order your team already works in, odd exceptions included.
Your software
Runs inside the tools you already pay for, set up the way you use them.
Your rules
Your wording, your limits, your sign-offs. Nothing generic goes out in your name.
You sign off
Your team keeps the final say.
The account lead approves new tasks and sends the follow-up. Any change to scope or fees is flagged for them instead of being added as a task.
What it's worth
What those hours add up to.
4 hours a week, over 46 working weeks, is 184 hours a year. At $50 an hour, that’s
$9,200
back in the business, every year.
Typical, not promised.
Before and after
The job, before and after.
How it runs today
Commitments get made on calls and written in someone's notebook, or nowhere. The follow-up email goes out a day late or not at all, and a month later the client asks why something they mentioned never happened.

Small promises stop disappearing, clients get a recap the same day, and scope changes get spotted before they turn into unbilled work.
FAQ
Do clients need to agree to call recording?
Yes, and we set it up so every client is asked. Calls that aren't recorded can still be followed up from typed notes.
We use Microsoft Teams, not Zoom. Is that a problem?
No. Call follow-up works with Microsoft Teams and Google Meet calls as well as Zoom.
