Staff rota changes and cover

Open shifts usually covered within the hour, without a morning of texting. The shift goes to the right people in minutes and the rota updates itself on a yes.

How it runs

What we build, step by step.

This is the usual shape. Yours gets built around how your team actually does the job.

  1. 01

Sick calls and swap requests captured

Staff message a single number or chat. The request is logged with the shift, the role and the reason.

  2. 02

The shift offered to people who can do it

Staff trained for that role, not already working, and under their hours for the week get a message. First to say yes is offered the shift.

  3. 03

    Manager approval

The manager gets the proposed cover and confirms it with one reply, or picks someone else.

  4. 04

    The rota updated and shared

The rota is updated and the people affected are told. The day's shift list shows the change.

Shown with software we see a lot. If your team uses something else, we build it into that instead.

Built for your business

Same job, different business. We build yours.

Two firms in the same trade rarely run a job the same way. Different software, different steps, different people signing off. We build it for your business, around how your team actually does the job.

  • Your steps

Built around the order your team already works in, odd exceptions included.

  • Your software

Runs inside the tools you already pay for, set up the way you use them.

  • Your rules

Your wording, your limits, your sign-offs. Nothing generic goes out in your name.

You sign off

Your team keeps the final say.

The manager approves every cover and swap, and anything about pay, discipline or wellbeing goes to them directly.

What it's worth

What those hours add up to.

3 hours a week, over 46 working weeks, is 138 hours a year. At $50 an hour, that’s

$6,900

back in the business, every year.

Typical, not promised.

Before and after

The job, before and after.

How it runs today

A sick call comes in at 7am. The manager scrolls through contacts, texts people one at a time, waits for replies, then updates the rota and tells the rest of the team. Swaps get agreed in a group chat and the rota doesn't always catch up.

What we build

  • Sick calls and swap requests captured
  • The shift offered to people who can do it
  • Manager approval
  • The rota updated and shared

A month in

Your manager gets about 3 hours a week back from chasing cover, and the rota matches who actually turns up.

FAQ

We use a rota app already. Does this replace it?

Not necessarily. If your rota app can connect, shift cover updates it directly. If not, we work from a shared sheet the app can be updated from.

Does shift cover check hours against overtime rules?

Yes. Before offering a shift, it checks the hours that person is already rostered, so it won't offer one that pushes them over the limit you set.
